Explanation of Changes to J. J. Keller’s 5-in-1 and 3-in-1 Logs
The trip report portions of our 5-in-1 and 3-in-1 logs were edited to make the trip reports more consistent with the recordkeeping requirements with the International Registration Plan (IRP) and International Fuel Tax Agreement (IFTA).
For IFTA and IRP compliance, it is essential to include the date of the trip and the trip origin and destination, routes of travel, and starting/ending odometer readings by state. There must also be information identifying the vehicle.
While some of this information may be on the top of the form in the HOS log portion, or within the DVIR portion, those portions of the forms are only legally required to be kept for 3 months (DVIR) or 6 months (log). IFTA and IRP records must be kept for at least 4 years — under IFTA, for 4 years from the dates on the record or the filing date of the return, whichever is later; under IRP, for 3 years from the close of the registration year on which the records were used to obtain registration. To help simplify compliance, J. J. Keller’s 5-in-1 and 3-in-1 logs now include a note about the IFTA/IRP recordkeeping requirements.
Also, as of July 1, 2013, IRP made some minor tweaks to their recordkeeping requirements. They’ve re-worded some information to make it 100% clear about what is expected. The IRP now states the following:
For Records produced by a means other than a vehicle-tracking system:
- the beginning and ending dates of the trip to which the Records pertain
- the origin and destination of the trip
- the route of travel
- the beginning and ending reading from the odometer, hubodometer, engine control module (ECM), or any similar device for the trip
- the total distance of the trip
- the distance traveled in each Jurisdiction
- the Vehicle identification number or Vehicle unit number
